Question

How can I record absence days which automatically deducts from pay on QB Online ? At the moment, I have to calculate it manually and then set up a manual deduction.

Hello, Rod.

I have some ways to help you deduct the pay from the absence days of the employee.

Recording absences is done by deducting the total of hours worked from the days the employee is absent.

Instead of setting up a manual deduction, simply add an earning and manually calculate the number of hours worked by the employee. Here's how:

  1. Go to the Payroll page, then click the New Pay Run button.
  2. Set the pay period.
  3. Find the employee, then open his pay details.
  4. Click the Action button, then select Add earnings.
  5. Set the total number of hours less the days the employee was absent, then click Save

Finalise the pay run and complete the payroll process.

If you're using the Weekly Timesheet feature instead, simply leave the absent days as blank and fill out the rest with the hours worked.

If this is a salaried employee, you'll want to continue manually adding the deductions for the absence days.
