Question

How do I change an employees pay after I have run payroll?

I reduced an employee's pay for an overpayment of gross pay last month. I did this as a deduction and thinking about it I think I should have just reduced this month's gross ay. I have already run payroll. Can I go back into it and amend this person's pay?

It's nice to see you here in the Community space, kline.

I'm here to assist you in making changes to your employee's pay once it's been completed.

Depending on your payroll subscription, you can delete or roll back the pay run if you want to make some changes.

These are the steps if you have QuickBooks Online Standard Payroll:

  1. Go to Payroll.
  2. Select Payroll History and choose the most recent period.
  3. On the Payroll details page, click Actions and select Delete Payroll.
  4. Type YES in the box then hit Delete.
  5. Repeat these steps for any additional pay runs that need deleting.

Here's how for QuickBooks Online Advanced Payroll:

  1. In Advanced Payroll, then the Pay Runs tab.
  2. Select the pay period you wish to unlock.
  3. Click Pay Run Actions, then Unlock.
  4. Enter the reason for unlocking the data in the comments.
  5. Hit Unlock to confirm.

Once it's already unlocked, you can edit, update and recalculate the value and finalise the payroll again. If you want to delete and rerun it.

Here's how:

  1. Now that the pay run is unlocked, select Delete Pay Run.
  2. Select Delete to confirm.
