Hello there, @kiruban

I appreciate you for getting back to post your concern here in the Community.

In QuickBooks, there are reasons why you were not able to match your transactions. You can go over them and get your journal entries matched.

To start, verify the total amount of selected transactions is the same as the total amount of the downloaded transactions.

QuickBooks offers suggestions to match your downloaded transactions to speed up the work for you. The system will see this as a possible Match so long as you can meet the other criteria.

If transactions have different amounts, you can select the Resolve Difference option to open the Add resolving transaction fields. Then, you can now add the Category and Amount of the resolving transaction until the difference equals zero. If needed, you can use the Add new transaction button to add multiple resolving transactions.

If you're still unable to match the transactions, check if the transactions are using the same bank account.

My question is I have a line item in the journal entry for NI&Tax under payroll liability:HMRC account. Once I pay my ni&tax to HMRC using current account, why my bank transaction doesn’t automatically match it with this journal entry

Thanks for the reply, kiruban!

QuickBooks Online will look and try to match the entries or transactions you created in the system to the downloaded bank transactions. Let me explain.

The system will use the transaction details such as date, amount, and description to find a potential match. Then, it'll show on the Banking page and you'll need to confirm it so they'll be matched and added to your books.

You can also search the match by clicking the Find match radio button. Please check this article for the detailed steps: Categorise and match online bank transactions in QuickBooks Online.

In addition, let me share the article about bank rules: Set up bank rules to categorise online banking transactions in QuickBooks Online. This helps you to easily categorise the downloaded bank transactions.

Feel free to post again here if you need additional assistance with banking. Take care!
