Hello robert-stubbs,

When you create the PAPDIS file and open it using a Microsoft Excel, there's a chance that the format will be changed. Intuit has developed the PAPDIS Review and Edit Tool. This can be used to review, edit, and format the PAPDIS data.

To know more about the PAPDIS file and the tool, you can browse these links:

Let me know if you have additional question about the process.

I've also migrated from desktop payroll to online standard payroll and the format of the pension export is not compatible and there doesn't seem to be a way of reformatting it within QB so I don't have to do it manually each month and risk errors in the data. Can anyone help please?

Hello, @RMMPM.

You can choose between an Excel or PDF file when exporting your reports from QuickBooks Desktop to QuickBooks Online. If you're currently using QuickBooks Online Advanced payroll, you can submit your pension report directly within the program. Just make sure that you're able to connect your Pension sync.

Here's how:

  1. Go to Payroll Settings.
  2. Choose Pension Settings.
  3. Select the Add pension scheme via the PensionSync button.
  4. Click Connect to PensionSync button.
  5. Once your business file is connected to PensionSync you can launch the Scheme Management Tool (SMT) which you can use to manage all your PensionSync interactions.

However, if you're using QuickBooks Online Standard payroll, you'd have to manually enter your pension details when submitting it to your pension provider. You can read to this article for more detailed information: Workplace pensions in QuickBooks Online Standard Payroll.
