I have taken over the payroll for a company and for some reason the payroll was submitted twice in May and three times in June. I need to resubmit the correct amounts but can't see how to do this.

Can anyone point me in the right direction?

You can use the Audit log to see who submitted the payroll. Ensure to delete the pay run or the incorrect payrolls. But, before doing so, you'll have to take note of what will happen after deleting it. 

 

  • You cannot delete just one payment in a pay run. If you delete a pay run, QBO deletes all of the employee payments in the payroll.
  • If you're trying to correct an employee's payment, you can make changes in the next pay run, the Full Payment Submission (FPS) for the next pay run will reflect the updates.
  • If you need to delete an entire pay run, be sure to print out all the payslips and reports beforehand. Then you have all the information you need for all the employees you've paid when you recreate the pay run.
  • If you need to delete a scheduled pay run that has already been submitted to HMRC, you can create a new pay schedule and add employees with the same payroll ID. If this doesn't work, you may need to contact HMRC and set up employees with new payroll IDs on the new pay schedule. Alternatively, you can migrate to Advanced payroll.

To delete a pay run:

 

  1. Navigate the Payroll tab and select Employees (Take me there).
  2. Select Payroll History and choose the most recent period.
  3. On the Payroll details page, click Actions and select Delete Payroll.
  4. Type YES in the box, then click Delete.
  5. Repeat these steps for any additional pay runs that need deleting.

If you'll receive a prompt that you're unable to delete a pay run, or you may be using QuickBooks Payroll Advanced, I'd suggest contacting our payroll support. This way, one of our agents will assist you in deleting and correcting your payroll.

  1. Sign in to your QuickBooks Online company.
  2. Go to Help (?) and select the Payroll button below.
  3. Select QuickBooks Standard Payroll Hub or QuickBooks Advanced Payroll Hub as required. The respective Self-help is displayed. 
  4. If you want to contact support directly, type ‘Chat’ in the ‘Type Something’ field and use Enter
  5. Select Ask me a questionAsk the QuickBooks Community or Contact a human.
  6. Select Live chat/Call me back.
  7. Enter your question, then select Continue.
  8. Choose a way to connect with us.
