How to search for bills/invoices with the same reference number? I'd like to be able to enter invoices or bills with a job reference number.

 I'd like to be able to enter invoices or bills with a job reference number and then be able to search for that particular reference number and a list comes up with all bills/invoices that have the same reference number? Is that possible?

Thank you for response, halleze. You may enter the job reference number on your invoices and bills in Description column. 

 

Here's how to search for invoice and bills with the same job reference number: 

 

  1. Click on the magnifying glass or search icon located on the upper right corner.
  2. Select Advanced Search. 
  3. Select All Transactions.
  4. Select Line Description, Contains, enter the job reference number.
  5. Select Search.

Hi halleze,

 

Thanks for reaching out to us! May I know how you enter the job reference number on your bills and invoices? It would be best for us to identify this first so we can further check it for you. On the other hand, you may try to run a Transaction List by Date report and customise it.

 

  1. Go to Reports tab and search for Transaction List by Date.
  2. Select Customise.
  3. Select Filter and then on Transaction Type, tick Invoice and Bill.
  4. Select Run report. 
  5. You can also click on the small gear icon if you need to add or remove some columns on the report. 
  6. Select on how you would like to group your data by clicking on Group by or Sort dropdown menu. 
  7. Select Run report.

 

If you would like search the transactions by clicking on the magnifying glass icon located on the upper right corner, if you'll use the filter option to All Transactions> Reference number> the results found will be based on the Invoice number or Bill number entered on the transaction.

Could I put the reference number as a tag and then search for the tag? Our friends use xero and it seems so easy for them to do it and so difficult in Quickbooks. Surely lots of businesses wanna track their costings for a particular job without having to set up a project each time? We do like hundreds of smaller jobs a week. Some jobs, there is a list of bills associated with that job. I'd like to easily look at all those different bills from different suppliers who were all for the same job.
