Why is my PayPal bank is showing all a balance that is incorrect

It's showing a tally of everything that has been deposited through PayPal in QBO.  QBO shows a figure that isn't what is actually my PayPal balance

I appreciate you sharing your concern here with us in the Community.  I'd be glad to share information on how we fix your bank and QuickBooks balance.

 

If your bank register balance in QuickBooks Online (QBO) doesn’t match your actual bank balance, several factors may cause the balances to vary. You would need to verify why they don’t match and fix them accordingly.
 

Here is some reason why balances do not match:
 

  • Outstanding transactions
  • New transactions for a connected account
  • Duplicate transactions
  • Edited or deleted transactions

Also, it's possible that you Add directly the transactions from the For review tab instead of matching it from the existing transactions in QBO and it causes a duplicate. You'll need to Undo the transactions you've manually added to check if there's a duplicate that causing the balance issue. If so, you can match it or exclude the transaction if it's no longer needed.

Here's how to match with an existing transaction:
 

  1. Locate the downloaded transaction with the Match option from the Action column.
  2. Take note of the Date, Description, Payee, and amount spent or received.
  3. Click the downloaded transaction to expand the view.
  4. Review the Matching records found in QuickBooks. To match the transaction you already entered in QuickBooks.
  5. Select the link next to each match to get more details.
  6. Review the Deposit to, Payment method, and Bank account fields on forms for the existing transaction in QuickBooks, to make sure this is the correct match.
  7. Then select Match.
     

If you're going to exclude it, here's how:
 

  1. Go to the Banking page and select a Bank accounts.
  2. From the For Review tab.
  3. Tick the checkbox of the transactions to exclude.
  4. Then select Exclude.

Once everything is sorted out and your PayPal and QBO balanced match, you can refer to this article for future reference: Reconcile an account in QuickBooks Online.
 

 Additionally, please keep in mind that bank statements will always vary when you reconcile an account, and only reconcile entries that show in your bank statement. Always compare the transactions on your statement with what's in QuickBooks, you can go over them one by one. To avoid discrepancies.
