Good day, @finance-pick2get.

The option to create a debit note is unavailable in QuickBooks Online (QBO).

If the debit note is created for customers for expenses incurred on their behalf, you record it using a journal entry.

For this, we'll debit the Accounts Receivable (select the customer's name) and credit the Expense Account

Here's how:

  1. Click the +New icon and select Journal entry
  2. Choose the Accounts Receivable (A/R) on the first ACCOUNT row.
  3. Enter the amount in the DEBITS column and choose the name of the customer.
  4. On the second row, select the expense account and enter the amount in the CREDITS column.
  5. Choose the name of the customer, then select Save and close.

When the customer makes a payment, enter a deposit entry in QuickBooks. Simply select the customer name in the RECEIVED FROM drop-down list and Accounts Receivable in the ACCOUNT drop-down list.
