Welcome to the QuickBooks Community, collegesoutheast. I'll be sharing details on how the user's role works in QuickBooks. Let me also provide steps so you can prevent them from seeing income on the Dashboard on the program.

 

Please keep in mind that once users are set up to manage any income transactions in QuickBooks, they will be able to access the income data on the dashboard. 

 

I recommend making them Time-tracking or Reports-only users in QBO. Time-tracking users can only access time sheets and time reports. while Reports users can create custom reports and add report groups but are unable to view actual transactions.

 

Here's how:

 

  1. Click the Gear icon at the upper right corner ⚙.
  2. Choose the Users section on the Manage users page.
  3. Click the Edit link.
  4. Go to the Roles drop-down arrow and select either Time-tracking or Reports-only.
  5. Click Save at the bottom.
