My colleague and I work remotely although we use one Quickbooks account. Lately she has had to request for a confirmation code from me everytime she wants to login. This wasn't the case before - what changed? (I was the one who signed up for the Quickbooks account).

Hello there, @ezcute.

I'll help share a few insights as to why you keep getting asked for confirmation codes when logging into QuickBooks Online (QBO) and guide you on the steps you need to take to help resolve this matter and manage your users' access accordingly.

There's no process change with how you log in to QBO. We only improved our security and access features to ensure your account's protection. Confirmation codes are sent to you by email or text message to ensure it's really you using the account and provide extra protection against password theft.

Please feel free to read this article for more details: Verify your QuickBooks Online account

Based on your description above, it seems that you've shared or used the same login credentials (User ID or email) with your colleague. That's why the confirmation code is sent to your account. With this, as the account's admin, I encourage you to add them as new users so they can have their own profile and login credentials. This way, their confirmation code will be sent to them directly. To do this, here's how:

  1. Go to Settings ⚙ or Gear icon, then Manage users
  2. Select Add user.
  3. Choose the user type you want to create. More options will appear on the screen depending on the user type you select.
  4. Enter your new user’s or colleague's name and email address.
  5. Select Save.

You can learn more about the process about by checking out this article: Add and manage users in QuickBooks Online.

Also, you may want to check out this article as your reference to guide you in managing users' roles and how you can limit access to specific tasks in QBO: Users roles and access rights in QuickBooks Online.

Please keep me posted on how it goes in the comments below. If you have other log-in concerns or questions about users' access in QBO, I'm always ready to help. Take care, and have a great day, @ezcute.
