I am working as online accountant for my client and received above mentioned errors. I have limited access to company. Is that reason for not merging the vendor

Hello there, 9130 3490 3756 5566!

Let me explain the reason for this error message and share the details on how to fix it.

QuickBooks Online won't allow us to use the same name on your lists. This applies not just to vendors but also to employees, customers, and accounts. This is to keep your lists clean and makes bookkeeping easier.

If you're trying to set up a different list type, a customer for instance, but a vendor is using this name, you'll want to add a number or letters to make it different. Example: Company ABC - Customer or Company ABC - Vendor.

You can also add a code if you're trying to set up a new vendor profile but with an existing name. Example: Company ABC Branch 1 and Company ABC Branch 2.

QuickBooks Online also allows you to merge two vendor profiles. Please note that this is a permanent process and this moves all the data into one profile.

  1. Go to Expenses and select Suppliers/Vendors.
  2. Find and open the vendor profile you want to keep and select Edit. Take note of the Company and Display name.
  3. Go back to the Suppliers/Vendors tab. Find and open the supplier you don't want to keep, then select Edit.
  4. Change the display name to make it identical to the supplier you're merging it with.
  5. Select Save, then Yes to confirm.

Lastly, I know that you'll need to run reports in QuickBooks Online. You can check this link to learn more on how to pull up, customise, and save them: Run reports in QuickBooks Online.
