Question

When attempting to add a new credit note for a supplier, on the opening of the new credit I am presented with a number of rows of information that I do not understand?

The new credit note shows multiple rows of what could be previous credits or payments applied to this supplier. Do I delete these rows or add to the bottom of them? Previous accounting packages did not present me with this so concern on the result of what I would do is paramount.

Welcome to the Community, Brian. I'm here to help you retain or remove rows of information in your credit note, ensuring you better understand each data entry.

Before we proceed, may I ask if your browser has a data retention feature that enables automatic data filling in the fields? If so, I recommend turning off that feature to prevent unnecessary entries. You can visit the browser's support website to update your browsing settings.

To remove these entries from the Supplier Credit window, please click the Clear button. I've attached a screenshot below for visual reference:

You also mentioned that these entries could be previous credits or payments applied to this supplier. Are you perhaps viewing the Bill Payment window instead of the Supplier Credit window? If that's the case, I suggest consulting with your business partner before making any changes to the entries in QuickBooks. To avoid picking the incorrect Credits, you can untick the associated boxes. I've added a video snippet for visual reference:

I'll share this article with you for more insights on recording a supplier credit note: Enter supplier credits and refunds in QuickBooks Online.

However, if you're noticing unusual behavior in your browser, I recommend starting by running QuickBooks Online in an incognito or private browsing window. This helps avoid issues with internet files or cached data, which disrupts system processes. For more details, I suggest checking this article: Troubleshooting browser problems.

In addition, we offer a Bills and Applied Payments report, specifically designed to facilitate the review of Supplier Credits applied to your bills, enhancing your financial tracking capabilities.

This approach should resolve the issue. It's important to us that all your concerns are thoroughly addressed, enabling you to manage supplier transactions efficiently. Remember, we are just a post away should you need further assistance. Take care, Brian!
