Question

SCANNING INVOICES AND BILL OF LADINGS

I have been using Quickbooks 2021.  I had a free update to 2022.  What it failed to tell me was that I can no longer use my scanner to  scan bill of ladings and attach to my invoice.  I guess they want me to use my cell phone to scan and attach.  This will take me longer to process an invoice and I don't always have my cell phone at the office.  I am so disappointed that they took this feature away!!  I had to reload 2021!  Their 2022 update is useless to me!  Plus I keep getting the window telling me to update to 2022 and it won't go away even though I checked the box to say, don't show anymore.  I guess I am hoping they do an update and

Good afternoon, @PAT0511

It's great to see you back in the Community. Allow me to share some insight.

To be sure, what scanner are you using? This will help us ensure if the scanner is compatible the 2022 version.

Also, here's a guide that can help you stop those pop-ups from happening: How to stop popups?

It's my priority that you're taken care of and you're able to run your business. I look forward to chatting with you more about this!

I am using Fujtsu- model #fi-7160.  There is no place that I can find on the Quickbooks 2022 to even register this scanner.

Thanks for following up with the Community, PAT0511.

In QuickBooks Desktop 2022, Scan Manager was discontinued. To upload documents (PDFs and images with a JPEG, JPG,
GIF, or PNG file type) that can be attached to invoices and bills, you can use the QuickBooks Desktop mobile apps.

Here's how to upload files with our QuickBooks Desktop iOS app:

  1. Open the app, then sign in to your Intuit Account.
  2. Choose a company to upload documents to.
  3. On the home screen, tap your Document option under Snap and Upload.
  4. Hit Snap Document.
  5. Use the Camera icon to take a picture or tap your Photos icon to upload one. If necessary, you'll be able to crop and rotate the image.
  6. Select Use this photo.
  7. Add a Name and Memo.
  8. Click Upload photo, then press OK.
  9. Sign in to your company file to review, edit, and match documents to transactions.

Once you've uploaded documents, they can be found in the Doc Center under your Mobile tab. From there, you'll be able to attach the documents in QuickBooks Desktop.

If you're using an Android device, there's also a QuickBooks Desktop Android app that can be used to accomplish this.

In the event you choose to continue using a previous and currently supported version of QuickBooks Desktop, you can use Scan Manager with TWAIN compliant scanners.

Please feel more than welcome to send a reply if there's any questions. The Community's always here to help. Have a lovely day!

QB obviously has people making changes to the software that DO NOT actually use the software.  This is the dumbest thing I have ever seen someone do with a VERY useful feature.  Instead of scanning while I am entering the bills and attaching them directly I have to either use my phone (one page at a time) or go to our office scanner and scan them, then go and retrieve them from the scan folder to attach them.  Dumb move, FIX IT!!

I agree, the people designing this program must are out of touch with the users!

This is the most ridiculous decision ever for Quickbooks to remove scan manager! Scanning and attaching receipts and documents to transactions is one of the most important and basic features for a business accounting system.  The mobile receipt scanning is ridiculous, it is time consuming and not efficient. I will be looking for an alternative software if Quickbooks doesn't bring this feature back, does anyone have any suggestions for an alternative software that will allow direct scanning?

Hi there, dkhorseshoeing.

Welcome to the QuickBooks Community. This isn't the kind of impression that I'd like you to have, and we know how essential to have the QuickBooks scan manager in QuickBooks Desktop 2022. With this, I'll ensure you can send feedback so your suggestion is forwarded to the Product Development Team so the said feature will be available in QBDT 2022.

Since we are unable to provide a specific time frame as to when the said option will be back or available again in the future, I encourage you to go to the Help icon and start submitting feedback. These requests and suggestions are forwarded to the Product Development Team for consideration in future updates.

On the other hand, you also have the option to visit our MarketPlace website. You can scan through the site to get a better comparison of the available apps that will allow direct scanning and to achieve your goal.

Lastly, you may refer to this article to see details on how to use barcodes to make data entry faster and easier in QuickBooks Desktop: Set up and use barcode scanning in QuickBooks Desktop.

I'll be around to help if you have any other questions about this concern. Just let me know by leaving a comment below. Have a nice day ahead.

How about simply directing your product development people to the dozens of complaints on your site versus suggesting that we do additional work to send another complaint directly to them?

Suggesting another app that we have to purchase to replace a feature that was very valuable and free?  Also, not helpful.

The decision to delete the scan features is completely detrimental to productivity.  I have relied on the scan feature to quickly access my documents for review and now I can't scan and save?  Who did this?  They clearly are not using the program.  I am so disappointed.  What a foolish decision on the part of QB development.  PLEASE bring it back ASAP!

Quick books deleting the scan manager and replacing it with the mobile app is the stupidest thing on the planet.  That means that my office staff has to use their personal cell phone to take pictures, upload, blah, blah blah. I though using computers was supposed to make one efficient.  This new mobile app is a step backwards!!!!!!!!!!  That is like telling the fiber optic people to start usi9ng string and soup cans again.

The purchase of Quick books 2022 Premier was the biggest mistake I have made in my 40 year business career.  Never again.  I will personally tell my story to as many people as I can.  Do not purchase quickbooks 2022.  Question.  Do you all ever use the programs that you design.  I suspect not.

Thanks,

Removing this feature is basically a money grab (use one of our app partners for this feature that pays us for this benefit we stopped providing you so we can make more money off you) and one big F U to the customer base.

October 13, 2022

This was a completely absurd move for Intuit to make. I cant believe I am paying thousands per year for an enterprise subscription just to have features my company relies on taken away! And a year later nothing has been done about it. BRING BACK SCAN MANAGER! If Intuit doesn't want to listen to their customers, it makes the decision to switch to a software provider that does inevitable.

We appreciate your feedback about the Scan Manager, SIPCO.

An old feature is normally discontinued if there's low usage or due to system restrictions.

A new feature was also introduced for newer versions of QuickBooks that replaced the Scan Manager. Using this, you can still scan or take a picture of a file and attach them to the transactions using your mobile app. Allow me to share these articles for guidance and additional details:

You can also send your feedback about the discontinuation directly to our engineers. Customer suggestions and other requests are collected and reviewed for future updates. Here's how::

  1. Go to the Help menu and look for Send Feedback Online.
  2. Select Product Suggestion.
  3. Type in your feedback and feature request about the Scan Manager.
  4. Click Send Feedback.

Let me know if you have follow-up questions about the new feature. I'll jump right back to help you again.

No one cares about your app. No business professional wants to use an app versus a computer with a scanner. Maybe listen to the customers!

I was using the Brothers TWAIN Scanner. Cant understand why Quickbook removed the scanner feature and added more clicks to attach files.  Would like too see them add it back and see how many users use the scanner feature.

I can share some information about attaching documents and scanners tested for compatibility in QuickBooks Desktop, @swfldog

For QuickBooks Desktop 2022, you can use the QuickBooks Desktop mobile app to upload your documents. After uploading the document, you’ll find them in the Doc Center. From here, you can attach it to your transactions. Refer to this article for more information: Attach documents to transactions in QuickBooks Desktop

You can still use Scan Manager in previous versions of QuickBooks. To check the list of supported scanners, check out this TWAIN-compliant scanners post. The option to include Brothers TWAIN Scanner will surely make your work faster and more efficient.

I invite you to provide input to our developers so that this feature can be added to future releases. Rest assured, I'll do the same on my end.

Here's how:

  1. Select Send Feedback Online from the Help menu.
  2. Click the Product Suggestion from the dropdown menu.
  3. Fill out the on-screen instructions in the QuickBooks Feedback window.
  4. After that, click Send Feedback.

In case you're unable to scan and encountering an error, check out this article on how to resolve them: QuickBooks Scan Manager: Scan and attach documents to transactions

Let me know if you need further information about scanners tested for compatibility with QuickBooks Desktop. I'm here to help. Have a wonderful day!

When I upgraded to Quickbook 2022, I figured out in less than five minutes that you discontinued the scan feature.  I immediately returned to my 2021 version.  Now its Dec. 2022 and my 2021 version is crashing every hour and you have taken away my ability to allow my customers to pay by credit card.  I had no choice but to upgrade and I hate it.  I am so upset with your company.  We have been using Quickbooks since 2003 and I am going to request we find another Accounting Software program.  Not being able to scan a document is a nightmare.

February 14, 2023

If you use Quickbooks for payroll, you'll be FORCED to upgrade. Then you'll be FORCED to pay a monthly subscription fee instead of buying the package. Then you'll discover that some of the most important and time saving features were discontinued in the new versions.

But you can't go back. If you cancel your monthly subscription - you loose access to all your data. It's still there, you just can't access it any more.

Big Brother has taken control of your company.

Enjoy.

Well folks, I agree that QB discontinuing the scan manager has been hard to swallow.  I have sent many complaints but this company will not budge.  The  only way we can attach documents to invoices, bills ect. is to scan and save into your computer then make an attachment to your document.  It is a pain in the xxx and it takes much longer but there is no other alternative unless you use your cell phone (which is a joke.)  If you find a scanning software program that can scan directly into QB, let us know please.
