Move vendor timesheet data to employee account

We have created some employee's accounts under vendor. and they are filling their timesheets as a vendor. Now, we need to remove vendor and add it under employee. As of now, we tried removing the email id, but it is giving us error that email is already linked to vendor account. So, we cannot create another timesheet account as an employee.

At the initial we linked email to vendor account, so we cannot use same email for the employee account even if the vendor account is inactive

Changing a vendor profile as an employee or vice versa in QuickBooks Online (QBO) is a complex process, Foresight. I've got some steps to help you get around this situation and be able to import vendor timesheet data.

 

To begin, update your vendor's profile by adding an extra character and a dummy email account. This step is to evade the error message you've received. You can now inactivate the vendor profile. However, if you still use that vendor account, you can leave it active.

 

Next, if you haven't created a new employee profile, create one and ensure it is not identical to the vendor name. However, if you've already done so, edit or change employee info instead and use the previous vendor's email. I'll guide you through the steps below.

 

Here's how to create a new employee:

 

  1. Go to Payroll, then Employees.
  2. Select Add an employee.
  3. Add your employee’s name and email address.
  4. Press Add employee.
  5. Choose Start or Edit to any section to add the remaining info. 
  6. Click Save when finished.

 

To update existing employees, here's how:

 

  1. Navigate to Payroll, then Employees.
  2. Select your employee.
  3. Press the dropdown above the employee list.
  4. Choose Active Employees, Inactive Employees, or All Employees. 
  5. Hit Start or Edit on the section you want to update.
  6. When finished, click Save.

 

Once done, import your vendor's time data from your QuickBooks Desktop or QuickBooks Time account using a CSV file. I'll share these resources to help you learn more about this process.
