Invoice entered against wrong supplier and reconciled in bank

Hi

i have entered an invoice against a wrong supplier and reconciled the bank- how do I correct this please - thanks

Not to worry, @Angela1958. I'm here to help you change the supplier's name and ensure everything is balanced.

 

Follow these instructions on how to correct the bill and its payment:

  1. Go to the Expenses menu and select the Suppliers tab.
  2. Click the supplier's name and locate the bill from the list and click View/Edit.
  3. Choose the correct supplier.
  4. Select Save and close.
  5. Click Yes to confirm.
  6. Then, open the bill payment from the list.
  7. Select the correct supplier.
  8. From the Add to Bill Payment section, select the bill by clicking Add.
  9. Enter the amount in the Amount field.
  10. Select Save and close and click Yes to confirm. This will create an open credit.

 

After that, link the credit to the bill.

  1. Go to the +New icon.
  2. Select Pay bills.
  3. Click the bill from the list. Verify the credit applied to the bill. 
  4. Click Save and close.

 

Saving changes could affect your balance the next time you try to reconcile. Make sure that the payment is marked as  R, which means reconciled. Otherwise, manually reconcile it from your register.

  1. Choose the Gear icon and select Chart of Accounts.
  2. Select the account and click View Register in the Action column.
  3. Find the transaction that needs to be reconciled.
  4. To highlight, click on the transaction.
  5. Under the Reconcile Status ✓ column, click the field twice. It will display an R which means it's reconciled.
  6. Click Save and respond to any further questions accordingly.

 

Make sure to reconcile your accounts regularly. This ensures the transactions agree with your real-life bank and credit card statements.
