We will need a sales by state report in QuickBooks

In address of the customer there is state or province cell. We need sales report based on state or province.

Thank you for reaching out to us about creating a sales-by-state report in QBO. While QuickBooks Online (QBO) doesn't have a built-in sales-by-state report, I know a way to help you create one through Excel. I'll guide you how.

 

Edit: I realised I used city in this example instead of the state or province addresses, but the same concept applies.

 

To achieve this, we'll export the Sales by Customer Summary report to Excel, and add a column for each customer's city address. In this way, we can sort the list by city and get the total sales in each city. You can also refer to the Customer Contact List report if you don't remember the address of each customer.

 

Exporting the report:

 

  1. Go to Reports on the left-hand side.
  2. Search for Sales by Customer Summary and click the suggestion.
  3. Set the date range and click Run report.
  4. Click the Export button and choose Export to Excel.
  5. Open the downloaded file.
  6. If the sheet says PROTECTED VIEW, click Enable Editing.

 

Getting the total per city in Excel:

 

  1. In Excel, add another column for the city address and fill them in.
  2. Make sure to put headers like the NAME, TOTAL, and CITY ADDRESS.
  3. Highlight the entire table, as shown in the first screenshot below. Do not include the sum of the totals.
  4. Go to the Insert menu and choose Pivot table on the left.
  5. Click OK on the Create Pivot Table pop-up window. This will bring the data to a new sheet.
  6. In the Pivot Table Fields, choose the CITY first so it shows on the left, and then TOTAL. Refer to the second screenshot.
  7. You can rename the column headers. Or, copy the entire table and paste as values in another section so you can edit the header names.
