Question

Why do credit card payments I receive from customers go into non specified on sales reports

Hello,

I am receiving credit card payments from customers that go into a non specified line item on the customers sales summary report.  These account receivables also get accounted for in the individual line items, therefore misrepresenting our sales numbers. Why is this happening and how do I fix it?

Welcome to the QuickBooks Community, @Thisucks2020.

The credit card payments under the Non-specified or Not Specified column on sales reports are those amounts that aren't assigned to the filter you've selected in the Group by drop-down menu.

Let me give an example. When you filter the sales report by Location, the amounts or payment under Not Specified come from those transactions that don't have location assignments. You can drill down the information you need by pulling up the transaction from the report itself, then correct and/or assign it to the specified filter. I'm here to guide you how.

  1. Pull up a sales report from the Reports menu (i.e. Sales by Customer Detail).
  2. In the Group by drop-down menu, select the filter you want (i.e. Location).
  3. Double-click the credit card payment or sales transaction to open its details.
  4. On the transaction page, assign the appropriate information needed (i.e. Location field).
  5. Click Save.

I've attached screenshots below for your reference.

On the other hand, you can also check the category that the sales item is assigned to. Just go to the Products and Services page from the Gear icon. Then, select the Edit option to open the item details. From there, update the appropriate sales account. You can also refer to this article for the step-by-step guide: Product and service items.

Additionally, you're able to customise reports to focus on the information that matters the most to you and your business. To do this, I'd recommend checking out this article for the detailed steps: Customise reports in QuickBooks Online. It also includes a guide about sharing custom reports.
