Accounts Payable Detail report with customer field

I need to get a report that will show me the AP Aging by customer field.  

 

We receive draws from our customers and then pay bills on behalf of them and need 

I am trying to develop and excel model for a cash flow and I can get the AR side side by customer and need to get the AP side.  How can i get an AP report with customer data which is how we track it?

Under Account and Settings, Expenses, Bills and expenses, turn-on "Track expenses and items by customer". Then drill down into the customers expenses, mark them as billable and add the customer name. Once you have done this for all expenses, you can run a report of "Unbilled Charges" by Customer. :)

Thanks for your quick response.  These are not traditional expenses. We are a project management company and sometimes we do the full cycle accounting.  We create an invoice for our services and all invoices we have approved and received.  We also then enter all the invoices to be paid into AP  as bills tagged with customer.  All I want is a report of all bills with the customer listed in the report.  I then can build a fancy dancy excel model to sum them all.  AR is easy how can I get AP list: Amount ,vendor,due date, customer tag.

 

Please help me I need some accounting QB love.

As long as you have added the customer you can go to the "Open Invoices" Report, select the gear icon and then include the "Customer" column. This will give you a report with Vendor Name, Invoice Date, Number, Terms, Due Date, Open Balance and Customer Name. It also subtotals by customer. Hope this helps.

I can help you with generating the report that you need, Tricia.

 

Currently, when you run the Accounts Payable (A/P) Aging Detail report, you can only include the vendor names. The ability to include the vendor types is unavailable.

 

The ability to add vendor types in QuickBooks Online (QBO) would be a great addition to the current features that we have to include it in our reports, so I'll take note of it. For now, I suggest checking out our QuickBooks Blog for updates on the program.

I'm with you all on this... we absolutely need the customer to show up in the AP report, and I don't know why it has not been addressed on over 4 years! If you can create a Project Profitability Summary, you've already linked AR Invoices with AP Bills. You've done the P&L side (thank you!), but why can't you do the BS side??

I'll share some tips on how you can get that report data, NG_2020.
 

The Accounts Payable Aging Detail/Summary report in QuickBooks Desktop can only include the vendor names as of the moment. If you're tracking the vendor expenses and payables that are billable to a customer or job, you can pull up the Unbilled Cost by Job report instead. Here's how:

 

  1. Go to the Reports menu.
  2. Choose Customers & Receivables.
  3. Select Unbilled Cost by Job.
  4. Set the appropriate reporting date and accounting method.
  5. Sort the report according to your preferences.

Hi there, Littlev2.

 

Since the report you tried to run does not contain any data, I recommend to customize the date before running the report. This way, you can verify if that report had entries that were entered on that date.

Here's how:

1. On the left panel of your QuickBooks Online account, click Reports.
2. In the search box, type and click the specific account you want to run.

3. Below the report period, click the dropdown arrow in the box and select Custom, then change the dates you want to run a report. You can also click Customize on the right side if you want to specify other information.

      Note: Customizing reports will depend on what kind of report you will run because it's different when you run reports for vendors and customers.

4. Click the Run report.

 

 

If the error still appears,  I recommend logging in to your QuickBooks account using a private browser. 

 

Use these keyboard shortcuts based on the browser you're using.
 

  • Google Chrome: press Ctrl + Shift + N
  • Mozilla Firefox: press Ctrl + Shift + P
  • Safari: press Command + Shift + N
     

There are also times the cached data in QuickBooks can cause unexpected issues. A regular browser will continuously overwrite itself and won't remove history unless manually done. You can click this article to learn the steps on how to clear cache and cookies to fix issues when using QuickBooks Online.

Any update here? This topic is a few years old now and you still can't link Customers/Projects with Accounts Payable reporting? There have to be a ton of customers who need this reporting.

I understand how useful it is to have a column or field for customers on account payable reports when managing vendor transactions. However, the Accounts Payable Aging Detail/Summary report in QuickBooks Online can only displays the vendor names at the moment.

 

However, you can run and customize the Purchases by Vendor Detail report to show the customers. Here's how:

 

  1. Click Reports.
  2. Search for the Purchases by Vendor Detail report.
  3. Click the small Gear icon.
  4. Put a check mark on the Customer box.
  5. Update the date period.
  6. Click Run report.
