Question

Adding employee that was previously a contractor. I have edited the contractor info so it does not come up as a duplicate. SSN still not being accepted. Any tips?

I made a dummy SSN and added characters to his name. There is a payment made under his SSN as a contractor. Could that be why it is recognizing it as a duplicate?

Welcome to the Community, Sharnae.

I'm here to share insights regarding the employee setup you did from your previous contractor in your QuickBooks Online (QBO).

I've replicated the steps you took in setting up your employee who was previously your contractor. While it is possible to do so, I would like to know if you encountered any specific errors during the setup process. It'll help us identify any issues and find appropriate solutions.

In the meantime, let's perform troubleshooting steps to eradicate the suspicion of having a browser-related issue with this one. Start by logging in to your QuickBooks Online account using a private or incognito browser.

You can use these keyboard shortcuts below:

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: ⌘ + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + N

From there, check if your SSN in your new employee setup has been accepted. If it works, return to your regular browser and clear its cache. Clearing your cache helps clean up browser cookies that block web pages from loading.

Furthermore, know how to revamp an employee's Social Security number (SSN) using QBO Payroll by visiting this article: Correct your employee's Social Security number.

Let me know if you have additional information or questions about setting up your employee's SSN in your QBO account. I'm always here to assist you.
