Hello, Ptool.

Keeping track of your finances is essential for making smart choices with your money. One way to do this is by adding entries to a bill whenever you spend money. This way, you can easily remember what you bought, follow the rules, and stay on top of your expenses. I'd be glad to help you with this! Here's how:

  1. Go to the Vendors menu.
  2. Select Enter Bills.
  3. Choose a vendor from the drop-down menu, then fill out the required fields: DateAmountDue date.
  4. Pick the type of bill you want to record:
  • Expenses - charges incurred by the business.
  • Items - this can be anything your business buys, sells or resells.
  1. Hit Save when done.

For future reference, if you need to process a refund for your vendors, please refer to this article.: Record a vendor refund in QuickBooks Desktop

If you have further questions about adding an entry, you can comment below, and we'll respond to you as soon as possible.

More than one item on same expense. Add?

Thanks for getting back to the thread, Ptool55.

Are you trying to add more than one item on a bill? If so, you can simply select the other line item and click Add new in the Items section. Please note that we can only select items in this section. If you want to choose an account category, use the Expenses side instead.

After recording what you owe in QuickBooks Desktop for Mac, you can go to the Pay Bills window to settle your payables. Please see this article for complete guidance: Pay bills in QuickBooks Desktop.

Also, paying bills is part of your usual accounts payable workflow. There are two A/P workflows available in QBDT. To know the workflow that best suits your business, check out this article: Accounts Payable Workflows in QuickBooks Desktop.

Keep me posted in the comments if you have other concerns about adding an entry to your bills in QBDT for Mac. I'll gladly help. Take care always.
