Horrible!!! Constantly changing up my estimate template. I use the app and half of my customers don’t show up. When I go to preview the estimate, it states “I’m using an Old Template Design “ which I’m not!! I tried turning off progressive invoicing and changing it to a standard design and STILL having issues! Someone please help me with this. It’s such a necessary evil.

I see the inconvenience of inconsistent template, Small business NJ. Let me share a way to resolve the issue and ensure you can get back to work in time.

Any customer you add using QuickBooks Online on the web will sync in the app. Since half of them don't show up, we can perform some troubleshooting according to your device.

Here are the steps for iOS:

  1. Tap Settings, then locate General.
  2. Select iPhone Storage, then click the QuickBooks Online app.
  3. Press Offload App.

For Android, follow the steps below:

  1. Go to Menu ☰, then tap More Options ⋮.
  2. Select Settings, then Refresh Data.
  3. Tap YES to confirm.

Additionally, you can clear cache and cookies to fix issues when using QuickBooks Online. It will help us verify if there's a sync delay with your template or if the error relates to the webpage issue.

Moreover, the changes in the template depend on your QuickBooks version and whether you have the new or old estimate experience. If you're subscribed to Simple Start and enabled progress invoicing, you won't be able to use the new experience. Thus, you're prompted to an old template design when previewing. Otherwise, you'll need to migrate if you're utilizing other versions since classic invoicing will be deprecated.

Furthermore, I would appreciate more information to get me on the same page. Can you share a screenshot of the estimate and invoice you're working on? Please also know that QuickBooks creates a default progress invoicing template once this feature is enabled. With this, I'd like to clarify if you changed the progress invoicing template to Standard.

Hello and thank you for your support. However, my issue is still not resolved. I work 90% on the app. I add customers, create estimates and send invoices from my phone. When I go to create an estimate, the customers only go up to the letter “J”. So I have to manually go into my customer list and then create an estimate from there. Also, progress invoices is turned off and it’s still saying I’m using an old template so I can not view. I’m getting fed up for the money we pay. Convenience is the complete opposite this app has to offer.

Yes, I absolutely am.

We use our Quickbooks online via desktop.  They changed the Estimates template today.  We now can't duplicate an estimate without manually rewriting it from scratch!  Where did the copy button go?  This is NOT making it better.

Thanks for becoming part of the Community and getting involved with this thread, DJaxn.

You can still duplicate estimates and invoices with your new layout. Instead of "Duplicate", the option is now titled "Make a copy".

Here's how to make a duplicate of an existing estimate:

  1. In the left navigation bar, go to Sales, then All sales.
  2. Find your estimate and click its Edit option.
  3. Hit Manage to open the settings panel.
  4. From your Action box, use the Drop-Down Arrow (▼) icon.
  5. Choose Make a copy.
  6. Make any necessary changes to your new estimate.
  7. Select Save.

I've also included a few detailed resources about working with estimates which may come in handy moving forward:

Yep! I can't even locate my own estimate or invoice template to use! Where did they go? it keeps telling me I am using an old template in an estimate that was already created using my own template! what the heck? I don't like this and its super inconvenient!

What is going on. This changed for me last week and I use the desk top version. This is horrible. How do I change it back? I use to be able to go back and fourth from estimate to invoice and vis versa but now I don't have that option. They are no longer linked together. The invoice isn't even linked to the estimate but when i go into the estimate the invoice is listed but I cant click on it to view the original estimate it only gives me the option to remove it. How do I change back to the original version I had previously and why did this all change?

Hello, everyone.

I recognize how the new layout affects your experience using QuickBooks Online (QBO). Let me provide additional insights about this matter.

Beginning May 6, 2024, QuickBooks migrated all users to the new invoice and estimate interface. There'll be no option to switch back to the old layout. This update aims to improve the back-end technology and enhance the customer experience with more features and faster development. While some old features may not be available, the new version offers improved functionality and customization options.

To help you familiarize with the new layout, check out this article: See what's new with estimates and invoices in QuickBooks Online.

Regarding your concern, to view the original estimate link to an invoice, you can follow these steps:

  1. Navigate to the Sales menu, then click Invoice.
  2. Select and open the Invoice.
  3. You can see a link icon on the line item and click on it to access the estimate.

On the other hand, you can get back to your invoice from the estimate by clicking on the Linked invoices on the right panel.

Furthermore, check this article to help you personalize your sales forms: Customize invoices, estimates, and sales receipts.

You are always welcome to revisit this page if you have additional questions or concerns about accessing your sales forms. We got you covered.

Yes! Its awful! I used QuickBooks for years with zero issues and all the sudden it’s non stop over the past year or so! The worst is that the new format has no option to simply add a comment or space through the app version. Even worse the app version and online version don’t sync. I know of dozens of people frustrated and ready to switch to another option other than QuickBooks if they can’t get the mobile app back to what it was.

It’s ridiculous! I’d make a long detailed grip right now but that would be me just dumping more of my valuable time into QuickBooks. I’ve lost 10’s of thousands already in lost projects and time as it is. It’s simple QuickBooks. FIRE who ever has been handling your tech and design of you format and go back to how it was a year or two ago especially the mobile app. I speak for countless people when I say your about to loose your clientele if this doesn’t sort out quickly.

Agreed. So tire of unless changes. Actively, looking for something better.
