Question

Backorder report by item/customer

I'm looking for a way to export a back order report by item to send to customers showing fulfillable quantities (partial or full). I'm achieving this now by running a standard  "Opens Sales Order by Item" report, then filtering out by customer. But I'm having to manually check on hand stock status for each item then add the to the exported excel file. Just looking for a more streamlined way of doing this.

You've come to the right place for assistance, wafflesnblow. I can help you run a streamlined report and export it, so you can have a detailed record of your data.

With QuickBooks Desktop, you can create custom detailed reports to have the most common and advanced reporting of your account. Thus, you may consider running a Custom Transaction Detail report and customize them to add specific information showing fulfillable back-ordered quantities by items or customers. To do this:

  1. In your QBDT account, go to Reports and choose Custom Reports. Then, select Transaction Detail.
  2. Click Customize Report.
  3. In the Search Columns field, enter and choose BackorderedQTY, and Item. Then, select Customer from the Total by section.
  4. Go to the Filters tab.
  5. In the Search Filters field, enter "posting status," then choose Non-postingPosting, or Either.
  6. Once done, click OK.
  7. Review all information and add other filters if necessary.
  8. Then, select Create New Worksheet under the Excel dropdown to export the report.

Moreover, I recommend memorizing this report, so you can access them in the future. This way, you don't have to go through the customization process again.
