Bank is requiring a CSV export in a specific format - how do I do it?

My bank is requesting a CSV export in a specific format:

Check Number

Date
Payee
Amount
Bank Acct #

Every day they are requiring this report.  How do I do this in QB Desktop? I have tried a customized report, and it gets close, but it keeps putting the date after each check.

It sounds like you're sending a positive pay / secure check file to your bank.

 

To to this easily and quickly, use our BRC PositivePay file Creator - QB Desktop 

 

It supports many banks, creating files according to the bank specifications. It also supports creating custom file formats. If your bank isn't listed on the page linked to above, we can probably add it to the list of banks, which is something we do regularly.

Welcome to the Community, @caseyjco. I’ve come to provide some insights regarding your concern with managing your data.

 

CSV files are simple text files with tabular data. The file's fields are separated from each other by commas. Although you may generate and edit CSV files with any text editor, such as Notepad, the majority of spreadsheets support this format.

 

If you don't have MS Excel installed on your computer, or if you wish to view and edit your data in a different format, you can export a list as a CSV file. I'll show you how:

 

  1. Open the report.
  2. Click the Excel drop-down at the top of the report.
  3. Select Create New Worksheet.
  4. In the Send Report to Excel window, select Create a comma separated values (.csv) file.
  5. Tick Export.
  6. Assign a file name, then choose the location where you want to save the file.

 

From there, we can now be able to locate, open, and edit the file as needed.

Hi,

 

Thank you, I'm familiar with how CSV's work - I'm trying to figure out how to get the specific fields requested so it can be one click to run daily, with their requested export values in CSV format.  Is there a way to choose which columns from the check export list?

Hi, caseyjco.

 

Let me share some information about exporting specific fields in QuickBooks Desktop (QBDT).

 

 At this time, this feature isn't available, you can manually edit the exported CSV file or you'll have to visit our QuickBooks Desktop Apps to check for a third-party application. 

Additionally, I've added this article to be able to access these custom reports and save them in QBDT: Create, access and modify memorized reports.

I have discovered a way to create a "Positive Pay" report from Quickbooks Desktop - mostly.  It does everything you need except that it uses the "Vendor Name" field instead of the "Print Name on Check" field.  If you have to have the Print on Check field, you'll need to use @BigRedConsulting 's solution.

 

Here goes:

  • Go to "Reports -> Banking -> Missing Checks"
  • Choose the bank account that you are creating the report for
  • Go to "Customize Report" at the top left
    • under "Display" tab, choose "Date", "Num", "Name", and "Amount".  Uncheck everything else.
    • under "Filters" tab, choose "Cleared: No"
      • if you see electronic checks or ACHes mixed in with checks, add a filter for "number" between 1 and 100,000 or something that matches the range you'll be writing checks in
      • if you see deposits, add a filter for "Amount" <= 0
    • under "Header/Footer" tab, uncheck everything
    • click "OK" to save your choices.
  • Click "Memorize" and call the report "Positive Pay" or something helpful to you so you can use it from now on by going to "Reports -> Memorized Reports"
  • Click the "Excel" button and export to .csv

 

When you write checks, go to your memorized report and run it for the day you just wrote them for

 

Again, this will get you most of what you need, but if you need the name printed on the check instead of the vendor name, you'll need to change those fields by hand, our buy @BigRedConsulting 's Positive Pay creator here:
