Bill Pay Question: Will all users with the admin level of access be able to pay bills or modify approval workflows?

It appears that all users with the standard level of access would be able to pay bills or modify approval workflows. If we change all these roles to "Internal Accountant," the issue will be solved. Can you confirm that we will still have access to all we need? Next, the same issue seems to be related to accountants (external firms). Can you confirm if they have access to pay bills and change workflows?

If you're referring to an In house accountant user, this role was previously called "Standard all access without payroll" and has been renamed since May 2024. Users with this role can access all bookkeeping and accounting tools, as well as financial reports. They can't access payroll and can't do admin tasks like managing users. They can access everything under customers and sales as well as vendors and purchases.

 

They can also:
 

  • View your activity log
  • Create, edit, and delete budgets
  • View and categorize online bank feeds
  • Make deposits and transfer funds
  • Add, edit, and delete accounts
  • Reconcile accounts and make journal entries
  • View all reports except payroll reports
  • Manage sales tax data and settings
  • Access and manage aspects of currency/multicurrency

 

In regard to inviting accounting firms as users in your books, they'll be able to make corrections and collaborate on issues. They have additional privileges that enable them to undo entire reconciliations, reclassify transactions, and write off invoices. They can also use accountant-specific tools to help you prepare for taxes. Our article on the topic doesn't mention them being able to pay bills or change workflows.
