Question

Can a nonprofit organization customize a sales receipt to truly look like a DONATION receipt?

Using a Sales Receipt template, I can change most labels to "Donation" or "Donation Receipt" but I can't get ride of the "BILL TO" label. "Bill To" is inappropriate for a donor. The Email also has a section "Sales Receipt Summary" with the "Sale #" and "Sale date" that cannot be removed. I tried to customize an Estimate template, and this got rid of the "BILL TO" and I can live with the "Accepted By" (though it is irrelevant) but the Email has the "Estimate Summary" section that cannot be altered, and that would be confusing to a donor. I tried the Invoice template, and I can replace "Invoice" with "Donation" but it still has the "Bill To" label, plus it has a "Balance Due" line and the Email is all wrong, with its "Review and pay" button, Terms, and Bill to. My question to the community is about whether a nonprofit organization can customize a sales receipt to truly look like a DONATION receipt. What do nonprofit organizations do?

Hi there, @TomG92! Thanks for posting in the Community. Allow me to help share some information about the Sales Receipt template in QuickBooks Online.

At this time, we cannot remove the Bill To portion on a Sales Receipt Template since there's no option to do so. Please check the attached screenshot below.

QuickBooks will not create proper donor statements. However, some features in QuickBooks can be supported by our third-party apps. Choosing a third-party app will save you time to create statements with no additional data entry.

We're unable to recommend a 3rd party app to use. However, There's a feature in QuickBooks that allows you to search for an app that meets your needs. Here's how:

  1. From the left menu, click Apps.
  2. Select the Find Apps tab.
  3. Enter a brief description of the feature in the Search for an App box.
  4. If there's a list of selections, choose the app you want to integrate, then click Get the app now to connect.

I recognize the importance of having features like subtotals and being able to edit out our Bill To.

Seeing that this is a significant feature for you, you can send feedback to our Product Engineers so they know what to add to the next update. Here's how:

  1. Click on the Gear icon.
  2. In the Profile section, select Feedback.
  3. Write your comments and product suggestions.
  4. Click Next to submit.

Our product engineers will consider your suggestions, and you can always check the status of your request through this link: QuickBooks Online Customer Feedback.

I will share some resources with you that you can browse and use as a reference to personalize your sales forms and stay updated on the newest updates of your sales transactions:

Fill me in if you need further assistance while working in QBO or have additional questions about the sales receipt feature. I'll get back to help you the best that I can.

Thank you for your response. The intriguing part of your reply was in regard to creating an invoice offline and then importing it. Unfortunately, the article to which you linked is https://quickbooks.intuit.com/community/Income-and-expenses/How-to-import-custom-invoices/m-p/186467 had information about

"Customize invoices, estimates, and sales receipts in QuickBooks Online" but it did not discuss Importing templates (even though "How-to-import-custom-invoices" is right there in the URL!). Might you have another reference for importing custom invoices. This might be the way around that I am looking for

I appreciate your effort in navigating the article given above, @TomG92. Let me clarify the availability of the Custom form style feature and share a workaround.

Please know that importing custom form styles was discontinued on 29-06-2021. It is also no longer available to new QuickBooks Online users. Only those who had an existing account before the specified date can still access this feature.

I understand the convenience of this feature for you and your business. You'll want to share your thoughts with our product developers by sending feedback through your account. I'll show you how:

  1. Go to the Gear icon.
  2. Choose Feedback.
  3. Enter your product suggestion, then click Next.

Visit our QuickBooks Online Feature Requests website to track the status of your requests.

In the meantime, you can create new templates or personalize existing ones. Here's an article for the instructions: Customize invoices, estimates, and sales receipts in QuickBooks Online.
