Can I allow a customer to pay via credit card automatically when statements are issued?

Thanks for bringing this to the Community space, cypresswood. Let me share some information about credit card payments in QuickBooks Online.

 

Yes, you can allow your customers to pay via credit card by sending an invoice with a credit card as the payment method. First, you'll have to connect your QuickBooks Payments account to QBO. If you don't have an account yet, you can subscribe and sign up before proceeding to the next step.  

 

Once done, you can now set up your payment option in your QBO account. You can follow the steps below for guidance:

 

  1. Click on the Gear icon, then select Account and Settings.
  2. Select the Sales tab. 
  3. Go to Invoice Payments, then click on the Pencil icon to edit.
  4. Under the Payment Instructions box, enter the Credit card and another payment method you want to include.
  5. Click Save, then Done.

 

Then, you can now change the invoice payments option if you have existing invoices or create a new one and then send them to your customers. 

 

Here's how to change the invoice payment option:

 

  1. Go to Sales, then select Invoices.
  2. Find the existing invoice you want to update, then click Edit
  3. Select Payment Methods.
  4. Turn the switches on for the credit card payment method.
  5. Select Save and close or Save and send.

 

Furthermore, you can set up and update your customer's credit card information so you won't have to enter the payment details every time you accept payments.

 

You can also record invoice payments in your QBO account once the payment is received to mark the invoice as paid. 

 

Also, let QuickBooks automatically match your bank deposits corresponding to your QuickBooks Payments transactions to save time and avoid mistakes that could lead to complications during tax season.

Is there a way for this charge to happen automatically?  Like a auto draft off the credit card without the customer doing anything.  Like a gym membership where my credit card is automatically billed each month

If you have a QuickBooks Payment account, you can enable automatic payments in QuickBooks Online. However, this feature is only available for pay-enabled recurring invoices.

 

Here's how you can set up auto-pay if you're sending customer invoices regularly:

 

  1. Click on the Gear icon.
  2. Select Recurring transactions.
  3. In the upper right corner, click New.
  4. Choose Invoice in the Transaction Type dropdown.
  5. Select a specific frequency interval, start date, and end date of the recurring transaction.
  6. Once done, click on the Save template option.
