Question

Can I have a customer enter a payment method when they accept an estimate, but not charge them

We need to get a payment method from our customers as part of accepting an estimate, but we don't want to charge them until work is complete.  I currently have to do this outside of Quickbooks.  Does anyone have a idea how to do this with the Quickbooks estimate?  All I can come up with is billing the customer $1.00 or something, but that's not very professional.

Hey there, Cal.

The option to enter a payment method when customers accept an estimate is unavailable in QuickBooks Online (QBO). For now, you can manually do this outside of QuickBooks.

Another workaround is to create a custom field on your estimate's template. This way, you can enter the payment method when your customers accept an estimate. Here's how:

  1. Click the Gear icon in the upper right corner.
  2. Under Lists, select Custom fields.
  3. Click Add field and enter a name such as Payment method.
  4. In the Data type drop-down list, choose Dropdown list.
  5. Create payment method items, then select Transaction as a category.
  6. Choose Estimate a type of form. You can also turn on the Print on form button to show the custom field when printing an estimate.
  7. Click Save.

You can also for a third-party app to help you with this task. Simply go to the Apps menu and select Find apps. Then, look for the app in the Search bar.

In addition, you can create progress invoicing using estimates. This lets you split an estimate into as many invoices as you need. To know about this, check out this article: How to send invoices over time as you work off an estimate in QuickBooks.

Please let me know if you have additional questions about entering a payment method when recording estimates. I'll be here to help.
