Can W-2's be reprinted for employees that say they never received theirs from QB's? If so, does special paper need to be used?

Yes, W-2s can be reprinted in QuickBooks Online for employees who say they never received theirs from QBs. To reprint a W-2 form in QuickBooks Online, follow these steps:

 

  1. Sign in to your QuickBooks Online account.
  2. Go to the Employees menu and select Payroll Center.
  3. Click the Taxes and Forms tab.
  4. Select View/Print Forms & W-2s.
  5. Enter your payroll PIN and select OK.

 

You can then select the employee you want to reprint the W-2 for and choose to print the form. You do not need to use special paper for reprinting W-2 forms. The standard paper used for printing should be sufficient.

 

Moreover, if you're reprinting because your employee lost or didn’t get the original W-2, write REISSUED STATEMENT on the top and include a copy of the W-2 instructions.

 

To print previous years. Here's how:

 

  1. Go to Taxes, then Payroll tax.
  2. Select Filing, and click Resources.
  3. Choose Archived forms and filings.
  4. Fill in the date range you need, or search for the forms you need.
  5. Click View on the W-2 or W-3 form you want to print.
  6. Select the print icon on the Reader toolbar. Then select Print again.

 

You do not need to use special paper for reprinting W-2 forms. The standard paper used for printing should be sufficient.
