Question

Can we add an external template for the invoice? How many custom fields can we sync on the invoice?

We are trying to customize the invoice template. Could you guide us on how to do this and also provide information about custom fields?

Hi there. I'll share details about importing invoice templates and utilizing custom fields inside QuickBooks Online (QBO).

Inside QBO, please know that you can only import specific data and that the option to upload an invoice template inside the program is unavailable. That said, you can create a personalized template to match sales forms to the nature of your business. We'll write down the steps to get you going:

  1. Access your QuickBooks Online company.
  2. On the top right corner, click the Gear icon and select Custom form styles.
  3. Click the New style button and choose Invoice.
  4. Start personalizing the invoice template.
  5. Click Done to save the template.

For more details, feel free to visit this page: Customize invoices, estimates, and sales receipts in QuickBooks Online.

Please know that if you're using QBO Plus or Essential, you can create and use up to 3 custom fields on your sales forms. However, if you're using the Advanced version of the program, you can have up to 12 customizable fields and apply them to the invoice. Refer to this article for further guidelines: Create and edit custom fields in QuickBooks Online Advanced.

We're also providing this article to help you manage invoice payments and keep track of customer's balance inside QBO: Record invoice payments in QuickBooks Online.
