Clean Up/Reorganize My Customers & Jobs List
I have been searching here but can't seem to find the correct answer to my question. I am currently using QuickBooks 2014 Pro Desktop in Windows 7.
In my Customers & Jobs list, many customers have 40 or more jobs under them spanning several years with a few customers with over 75 jobs each. Going through the list is getting more difficult with the growing number of jobs added each month.
I have a couple customers that have multiple locations and are billed monthly, one prefers to be billed twice a month. With that customer alone if I do work at all seven locations during both billing periods that adds 14 new jobs each month under that customer alone.
I tried several suggestions I found online but none work for the result I want, or I get error messages concerning reparenting and the software will not let me perform the suggestion.
Is there a way to either archive jobs (after reading the horror stories on how bad QuickBooks Condense Data feature works I have been afraid to try it...) , or is there a way reorganize the hierarchy into multiple levels such as by year and be able to close/hide previous years. It would be nice if the QuickBooks Customer & Job list would have the little arrows on the various levels that would allow users to twirl up/close a list for current but recently inactive customers so you didn't have to scroll through dozens of closed jobs to find the active ones.
Or is there a better way I should be creating jobs? On customers I do service work for and bill on a monthly basis, I was taught to create a separate job for each customer each month and use the numbering system 2017-101 for January of 2017, 2017-102 for February of 2017, etc. That way at least they are in chronological order under the parent customer name. For the clients with multiple locations I add the store number after the month: ie 2017-101-3827.
I have one customer that I have been working with for over 10 years and they alone have 80+ jobs under their company name alone. I am open to any suggestions and have no issue upgrading from 2014 if it will help solve my issue. I am a one man commercial service company so I my accounting needs are relatively simple, but my Customer & Jobs list is getting out of control.
