I run the office for a trucking company and we have multiple trucks on the road. I am required to report costs per mile for each truck, so I set up a class for each truck and I can run a P&L by Class. What I am struggling with is how to enter mileage per truck so that I can generate a report that allows me to see cost per mile by truck. Is this possible in QB Desktop?

Welcome to the Community, @2020 w-4.

Yes, entering mileage trucks is possible in QuickBooks Desktop (QBDT).

I'll gladly help you add a trip manually in QBDT. Here's how:

  1. Select Company then select Track Vehicle Mileage.
  2. Select Add Trip.
  3. Enter the Start and End dates. You may also want to enter the Purpose of the trip and select the Email for the employee who made the trip.
    • Mark it Billable if you need to invoice your customer.
    • Mark it Reimbursable if the trip qualifies for employee reimbursement.
  4. Enter Starting and Ending locations to calculate the Distance.  Or enter the odometer start and end reading.
    • Enter the distance (only if you wish to override the location or odometer calculated Distance) and select the Vehicle.
  5. You may also enter Notes regarding the travel information.
  6. When you're done, select Save.

Furthermore, here's an article that can help you enter and give mileage reimbursements to your employees: Reimburse employees' mileage and vehicle expenses in QuickBooks Online.

Let me know if you have further questions about mileage in QuickBooks Desktop. I'll be here to lend a hand.
