Question

Customer statements are incorrectly reflecting future payments

When running statements via the Customers -> Create Statements menu, I'm setting the criteria to:

Statement Date = 12/31/2024

All open transactions as of Statement Date

Despite this, the statements are not reflecting the 12/31/2024 open balance, which would tie out to the A/R Aging report. The statements are instead including payments made in January 2025, which should not affect the balance as of 12/31/2024.

There surely is an option I am missing somewhere, but I've searched to no avail.

Thanks for getting in touch with the Community, ohanavirtualtherap.

Since statements are displaying an incorrect open balance, I'd initially recommend checking how you're setting them up while creating them. A particular spot to look is the A/R account you've selected if your Chart of Accounts has more than one A/R account. In the event you don't have more than one, you won't see an A/R Account field.

Also be sure to confirm your date period is accurate. You can either specify the dates, or include all open (unpaid) transactions as of your statement date.

There's additionally the Additional options section you can check which might have a relevant option relating to why an unexpected balance is displayed.

If everything's configured correctly while creating the statements, but they continue showing an incorrect balance, I'd recommend using your Verify Data utility. This will troubleshoot the company file tell you if your Rebuild Data tool needs to be utilized afterwards. You can additionally try troubleshooting with the QuickBooks Tool Hub.

In the event statements continue displaying incorrect information after checking everything and troubleshooting, you'll want to get in touch with our Customer Care team. They'll be able to pull up your account in a secure environment, conduct further research with you, and create an investigation ticket if necessary.

I've included a detailed resource about working with statements which may come in handy moving forward: Create & send customer statements

I'll be here to help if there's any additional questions. Have an awesome Friday!
