Desktop - Sales Receipt Bounced Check - How do I record?

We have a customer who paid on a sales receipt and their check bounced. They have paid us now via credit card and added the fee for the bounced check.

All of the information I have found pertains to how to do this in QB Online, not QB Desktop Enterprise. How do I get this recorded properly without double billing it? QB support was of no help here and questioned why was it a sales receipt

I commend your determination and proactive approach to resolving this matter, @JLRKG. I'm here to help and ensure that the transaction is recorded correctly in QuickBooks Desktop Enterprise without any query of double billing.

If the sales receipt is already recorded, kindly reverse the payment to ensure accurate documentation of the bounced check.

Here's how:

  1. Create an income account for a bounced check and make a journal entry.
  2. On the first line, select the check account and enter the amount in the Credit column. In the second line, choose the bounced check income account and enter the amount in the Debit column.

It should now clear your bank balance. To record the credit card payment, create another sale receipt, and add another line item for the Bounce check fee.

I have also included an article for reference that provides comprehensive instructions on managing bounced checks: Handle Non-Sufficient Funds (NSF) or bounced checks from customers.

In QuickBooks Desktop, you can run and customize reports for customers, which helps manage them effectively. Refer to the guide on customizing these reports for detailed instructions: Customize customer, job, and sales reports in QuickBooks Desktop.

I'll stay vigilant for any additional concerns you have about double billing in QuickBooks Desktop. Please Reply to this thread with any issues, and I will get back to you promptly.
