Do I need to fill one more W9 form if I change a client? And how do I edit my current W9 form if some of my data has changed?

I have some tips on when to fill out a W9 form, Santamarina. 

 

The W9 form is used when one is required to report a certain type of income.  Therefore, you'll need to fill out one specifically for your new client or employer. You can inform your client to invite you as a contractor. This way you'll receive an email and will have the option to access the form.

 

After this, follow these steps below:

 

  1. Open the invite email and select the link.
  2. If you already have a QuickBooks Self-Employed account, select Sign in. Or, follow the steps to create a limited QuickBooks Self-Employed account. This account has limited features: you can fill out your W-9, submit it, and view your 1099-MISC
  3. Go to the Clients tab.
  4. Follow the steps to fill out and submit your W-9.

 

Then, fill out your W9 once. You can sign in and send your existing W-9 if you get another invite from someone else. If you need to edit your W-9, change it before your employer or client submits your 1099-MISC to the IRS. Here's how:

 

  1. Sign in to your QBSE account. Use the same account you used to fill out your W-9.
  2. Select your profile ⚙ icon.
  3. Click Tax profile.
  4. Make changes as needed.

 

On the other hand, if the information has changed like name, address, tax ID number, etc. since the last time you submitted a W-9 form to a client, you can also reach out to your client or employer so they can update it if you have any changes.
