Does anyone know a workaround to add a contractor manually who did not receive the QB email for the W9? System says I have an employee with that name when I try myself.

It looks like the request for the W9 created the profile but I can't access the profile.

If you need help with QuickBooks, you've come to the right place @treidcogop. I'll share some information about a workaround for manually adding a contractor who did not receive the W9 email from QuickBooks. Additionally, if the system is prompting an employee with the same name and they can't access their profile, I can help with that as well.

 

The following steps should be followed if you are getting the message Name Already Exists or Something you are trying to use has been made inactive while trying to add an employee to payroll and you do not find the name in other lists like Customers or Vendors.

 

If you see the error “The name supplied already exists. Another customer, vendor, or employee is already using this name.", this is usually caused by the following:

 

  • Importing data from QuickBooks Desktop or turning on payroll after adding employees in QuickBooks Online.
  • The customer, vendor, or employee name you're trying to add or import already exists in QuickBooks Online.

 

Step 1: Find the duplicate vendor, employee, or customer

Step 2: Update the employee, vendor, or customer info

Step 3: Add the employee, vendor, or customer again

Moreover, for your second concern if you still can't access the contractor's page it might be because of too much cache accumulated in a browser that causes unexpected behavior with the product. This can be the reason why you're unable to add a new employee. I recommend clearing your browser's cache. Doing so will remove the historical data and access QuickBooks with a clean slate. You can also switch to a different supported browser.
