Duplicate checking accounts

Recently my bank had an update,  I disconnected my quickbooks accounts from the bank, then reconnected to the bank after the update.  The problem is I had to rename by checking account - checking 2.  I was unable to reconnect using the same name.  Now I have 2 checking accounts with the same information.  That is duplicating all the transactions.  What is the best way to proceed in order to clean up the accounts?

Hi, @Diane T11. Welcome to the QuickBooks Community. 

 

I can share the steps in handling duplicate Checking accounts connected to QuickBooks Online (QBO).

 

It's best to retain the information from your previous Checking account and continue working with it, as it is the account that has the historical information of your transactions. If you've disconnected your QuickBooks Checking account and accidentally added a different name for the same account upon reconnecting, you can disconnect the recent account you've linked. After this, inactivate it and reconnect the previous account. Here are the steps to disconnect: 

 

  1. Go to the Bank transactions page.
  2. Click on the Checking account blue tile you've recently added and click on the Pencil icon.
  3. Select Edit account info.
  4. Put a checkmark on Disconnect this account on save to disconnect the account you've recently added.
  5. Select Save and Close.

 

Next, you can inactivate the disconnected account from the Chart of Accounts by following these steps:

 

  1. Go to the Chart of accounts.
  2. Locate the checking account you've recently disconnected (2 checking).
  3. Click on the View register tab and correct the balance to zero.
    a. Select any transaction and the Opening balance equity and select Delete. This will zero out the account to avoid causing incorrect tax info.
  4. Navigate back to the Chart of accounts and select Make inactive from the drop-down menu beside the View register tab.
  5. Select Yes, make inactive when prompted.

 

Once done, we can proceed to reconnect the previous checking account. You can follow these steps:

 

  1.  In the Chart of accounts, locate the previous Checking account you've disconnected.
  2. Beside the View register drop-down menu, select Connect bank
  3. Proceed with the onscreen steps.
  4. When prompted with Which accounts do you want to connect?, select Checking.
  5. Beside the Enter account type field, select the drop-down arrow.
  6. Choose the previous Checking account you want to reconnect.
  7. Click on Connect.

 

On the other hand, if your old checking account is no longer linked in the first place and the new connection is downloading the previous transactions, you can exclude them to get rid of the duplicates. Then, leave the first checking account as it is. Moving forward, use the second one when managing your online banking entries.
