Emailing Paystubs

Has anyone else had an issue today emailing paystubs or financial reports?  Yesterday I emailed a paystub with no problems and today it is telling me my credentials are incorrect??  Literally nothing has changed on my end with my Gmail account from yesterday to today.

I'll make sure that you can email your pay stubs and financial reports successfully, Lisa. 

 

Before sending pay stubs, make sure that you have the latest version of your QuickBooks Desktop (QBDT) and Adobe Acrobat Reader for improved functionality. As long as your credentials are correct, you should be able to email the pay stubs without issues. 

 

The error occurs when the email settings weren't properly configured and set up in QBDT. Either the Internet Service Provider (ISP) was changed, or something wasn't entered correctly during the setup. To verify this, double-check your preferences in QuickBooks. Follow the steps below:

 

  1. Select Edit from the top menu bar.
  2. Go to Preferences, then choose Send Forms.
  3. From the My Preferences tab, review the email you've set up.
     

Once verified that everything's fine, send a paystub or report again. If the issue persists, we can run the Verify/Rebuild tool to check for file errors. Verify will detect any damaged data, and Rebuild will attempt to fix the damaged data detected. It also allows your QuickBooks software to refresh the data inside the company file. Make sure to create a backup copy of your company file before doing the process. If there are changes that occur, having a backup copy allows you to restore it to undo the changes.

 

Follow the steps below on how to verify data:
 

  1. On the top menu, click File.
  2. Choose Utilities.
  3. Select Verify Data.


     
  4. Click OK when you see the message, QuickBooks detected no problem with your data.
  5. If Verify finds an issue with your data, you'll be prompted to Rebuild Now or View Errors.
  6. Click Close or View Errors and take note of the specific error message.

 

Next, here's how to rebuild data:
 

  1. On the top menu, click File.
  2. Choose Utilities.
  3. Select Rebuild Data.


     
  4. Click OK if you receive a prompt to back up your company file.
  5. Hit  OK when you get the message, Rebuild has completed and proceed to the next step.
  6. Run Rebuild Data again to make sure there's no error.

 

Send pay stubs again. If the issue persists, you may consider manually sending them outside of the program or letting your employees access their pay stubs and W-2s through QuickBooks Workforce
