I have QBO for 2 of our companies and QB Desktop still for one that does not make much money.  5 businesses are set up on it, but 2 we sold and 2 transferred to QBO.  I only need a profit and loss for taxes for one business, but all the other ones are still on there. I wish I could inactivate the businesses  no longer being used.  But till then, I need a P&L for the one business but it is not showing even 1/4 of the expenses.  Help please.

Hello there, @audy5000g. Filters can influence the information reflected in the Profit and Loss report. I'll guide you through the process so that all your expenses and subcontractors show in your report QuickBooks Desktop (QBDT).

To begin, you'll want to ensure that you've added a Vendor Type in the filter and selected Subcontractors. Also, if you're only tracking expense accounts from the report, you can set the program to only reflect expenses related data. These are the steps:

  1. Access your QuickBooks Desktop company.
  2. Go to the Reports menu and then select Company & Financial.
  3. Choose Profit & Loss Standard.
  4. Click the Customize Report button and then in the Filter section, enter Account. You can choose Expense and other expense accounts to allow the system to generate expense related data.
  5. In the Filter section, enter Vendor Type and then select Subcontractors.
  6. Once done, click the OK button.

If the issue persists, I recommend performing the Verify and Rebuild troubleshooting. This way, QuickBooks can run a deep checkup through your data to determine the root cause of the problem. For more details, please see this article: Verify and Rebuild Data in QuickBooks Desktop.

If you're trying to run the Profit and Loss report from a QuickBooks Online (QBO) company, feel free to visit this page to learn more on how to customize a report: Customize reports in QuickBooks Online.

Moreover, I recommend checking this article to save your reports for future use in QBDT: Create, access and modify memorized reports.
