Question

Hello. We have QBooks Online Plus and want to record a donation to a project. How do I do that? Why does the project name not "stick" when I hit Save?

I'm glad you've raised your project donation concern in the Community, @finance-cascader.

I'll walk you through recording a donation to a project in QuickBooks Online (QBO).

Ensure you have a revenue account for fund donations. If you don't have yet, you can follow these steps to create one:

  1. Go to the Gear icon and select Chart of Accounts.
  2. Choose an Account type. Make sure to select Non-Profit Income as the Detail Type.
  3. Enter necessary info. Then, Save.

Once done, create an item for the donation in the Product and Services section. You can name it as "Fund donations." After that, add the donor as a customer.

To complete this, you can record the donation as a Pledge and Sales Receipt if you receive it right away. Here's how:

  1. Click the +New icon and choose Pledge or Sales Receipt.
  2. Choose the donor and the donation item correctly.
  3. Pick a Payment Method for how you receive the donation.
  4. Click the Deposit dropdown, then choose where the donation is going.
  5. Select the checkbox for the pledge. If you want to email your donor a receipt, click Save and Send.

If you need to record the money donated to your organization or project, you can create a bank deposit instead.

Concerning the project name that doesn't stick when you click the Save icon, we can perform some basic troubleshooting steps to fix it.

Let's start by accessing your account via a private window to identify if this is a browser-related issue. Feel free to utilize the shortcut keys below:

  • Google Chrome: press Ctrl + Shift + N
  • Mozilla Firefox: press Ctrl + Shift + P
  • Microsoft Edge: press Ctrl + Shift + N
  • Safari: press Command + Shift + N

Then, try to click the Save icon there. If this works, clear the cache of your regular browser to eliminate piled-up data. If the issue persists, you can use another supported browser or device.

You may want to learn how to modify the form your donor will receive. Check out this article: Customize invoices, estimates, and sales receipts in QuickBooks Online.

Let me know if you have additional questions about managing donations to a project in QBO. We'll be willing to assist you. Keep safe, and have a good day.
