Let me shed some light on how you can set up automatic payments for recurring invoices, Xavier.

QuickBooks Online's Autopay allows customers to make payments for recurring invoices automatically. The process involves customers signing up and entering their payment info through the invoice once, and then QuickBooks will do the process automatically for future recurring invoices. Just keep in mind that you'd need QuickBooks Payments for this to work.

You can begin to set this up by making a recurring invoice template. Here's how to do it:

  1. Click the Gear icon at the top-right corner.
  2. Select Recurring transactions under Lists.
  3. Press New and then choose the type of transaction to create.
  4. Click on OK.
  5. Enter a template name.
  6. Pick a Type: Scheduled, Reminder, or Unscheduled. You can check out the differences between the types here.
  7. Complete the fields and then save the template.

Here are a few things to keep in mind when using Autopay:

  • Autopay isn't available for recurring invoices with a Daily interval or for amounts over $5,000.
  • You can edit recurring templates set up with Autopay. However, changing any of these fields will cancel the setup.
    • Total amount
    • Frequency
    • Terms
    • Payment options
    • Email address
    • Customer name

Now, you've set up Autopay on your end. It's time to assist your customers set it up on theirs. As they normally would, they'd receive an invoice email. However, this time, it would have the option to set up Autopay. Just inform them to click Set up autopay so they can enroll in the service.
