How can I make my custom invoice template the default template? I made all of the other invoices inactive, presumably leaving only mine. it does not work. I need mine.

i have been trying repeatedly to make my custom invoice the default template when I print invoices, but the system defaults back to the Intuit invoice, even though I made that invoice inactive.  I really need specific information on my invoice and QuickBooks is not letting me do this.

QB operates in a sticky mode.  You select the template and save the invoice, the next time you open an invoice QB remembers the template last used and loads that template for the new invoice

This "used" to work for me.  Recently, I had to edit a template that isn't used very often.  Now, I have to switch back to my "normal" invoice for every new invoice.  I'll click Save and New, and the odd ball one comes back up, haunting me.

I vaguely remember this happening a long time ago.  I believe I had to copy the odd one, edit it to make it the normal one and rename it.  And delete my old "normal" one.
Also happened around the same time our Company address would get mysteriously changed.   And recently having that problem again too.  Hmmm.

Any thing change that would cause the sticky mode to not work?

I went to Lists/Templates and selected the Invoice template I want as the default, right clicked and chose Open Form.  After I did this, it switched back to the default.  Quickbooks can be frustrating.  Anyone else heard they are doing away with Quickbooks desktop and forcing everyone to online subscriptions?  There's a rumor about this.

To add to Rustlers answer, are you looking at an invoice you already had made? QB's will always show the template that particular invoice was last saved with, even if you later make that template inactive. But if you open a new invoice, only your active templates should show up in the dropdown list, so if you make all others inactive, only the active one should show up.

The interim updates often result in the loss of address fields. I finally Hardcoded the company address on the templates, instead of pulling from the Company Info fields; now you Never lose that info, again.

This happens to me too - I use a couple different invoices but one is more frequently and I have to change it every single time as it does not open in the last type of invoice used.

I always invoice using a custom template, but suddenly when invoicing I get the QB default invoice template even if the template selection indicates my own custom template. The custom template is still in existence, but when I select it in the invoice menu, I only get the QB default under the template name.

 

This is a new problem, when I invoiced in late December all was well.

 

What is wrong and how can be fixed?

Hello there, @Jorge120. I'm here to help ensure you'll be able to select your custom template when creating an invoice in QuickBooks Desktop (QBDT).

 

To fix this, we can recreate the custom template. This may have been damaged. Here's how:

 

  1. In your QBDT account, navigate to the Lists menu and select Templates.
  2. Then, click the Templates arrow and choose New.
  3. Select Invoice.
  4. Customize the template and click OK when done.

 

When finished, create an invoice again and select the customized template. For more information, please check out this link: Use and customize form templates. 

 

On the other hand, if you have created a backup copy of your file at the time the customized template is functional, you can restore it

I just found the solution to the problem Quickbooks "supposed to be" staff are not able to answer.

 

I had the same problem recently when I change template for a shipment, then after when I was doing a new invoice it wasn't returning to my usual template.

 

So here is how to do.

Let's say you have  "Template 1" and "Template 2".

If you want the "Template 2" to turn as default, you'll have to first save your invoice with "Template 1", then switch to "Template 2" and save again. Then next "new" invoice you'll do will directly with "Template 2".

 

But you'll need to first create and save the invoice with "Template 1".
If you just switch directly to "Template 2" when you create a new invoice and you register like that it won't work. You need to register a first time with the template you don't want. And then it works like a charm.

Quickbook team, will you be one day able to answer the question asked ? Everytime the answer you give is not what asked.

Thank you for sharing this information.  That worked for me but it's a bit ridiculous that there's not an option to make a particular Invoice template as a default.

This is the only method (the saving under wrong template and then saving under the desired template) that worked for me today, after trying the other recommendations.

 

I am using Quickbooks Desktop Pro Plus 2024.
