Question

How do I create a DETAILED Profit and Loss statement? The detail s I need are the individual transactions within a category. I can only seem to run a P&L showing totals.

Hi there, @John11.

 

Creating a detailed Profit and Loss report in QuickBooks Online is easy. And I'll be happy to guide you. 

 

Here's how:

 

  1. On the left of your QuickBooks Online (QBO), click Reports.
  2. Select the Profit and Loss Detail report under the Business overview section.
  3. Modify the reporting period to a specific month.
  4. Click Run report.

Thank you!  However, under "Business Overview" I do not have an option for "Profit and Loss Detail".  Please see attached.

I'd like to know the QuickBooks Online (QBO) version you're using, @johnzaffarano.

 

Some reports are not available in other QBO version. Profit and Loss Detail report is available in QBO Essentials, Plus, and Advanced. The Simple Start plan doesn't have the Profit and Loss Detail report.

But I have QBO Advanced, which means I should have this option and I do not. Please advise. I've been trying to find this for months.

You're right that the Profit and Loss Detail report should be available in QuickBooks Online Advanced, as it is the premium product in all online versions.

 

I can see that my colleague, Mirriam, has already provided the correct steps to run the said report and added a few related references as well. At this point, we'd better have your QBO company checked by our QBO Advanced Support. This way, we will know why Profit and Loss Detail is not available to you.

 

  1. Go to Help and choose the Search tab.
  2. Click Contact Us at the bottom.
  3. Enter something like Profit and Loss detail is not available in my list of reports and click Continue.
  4. Choose Callback, Appointment, or Chat.

I found out how to do this by accident in the basic plan. I ran a regular p&l for the year, then went to the total at the bottom under net income and clicked on it, and it took me straight to a p&l detail report. I agree it's annoying it's not easily available for users but I hope this helps you!

Thank you!  I ended up upgrading to the next level of QB and was able to detail but good to know your tip. Much appreciated!

  • go under REPORTS 
  • generate "Profit and loss" report 
  • go all the way down - and click on the last number on the P&L report - net profit number 
  • system will generate detail P&L

Ok. After making 3 QBO support calls (they can't figure it out), and 2 hours of my time.  I found a work around.  Not perfect but beats manually modifying 10,000 Excel rows. 

 

Good for identifying any mis-categorized transaction from the Profit and Loss Report.

 

NOTE: only works if you click on the "Total Expenses" line. 

 

Steps:

1) Run the normal Profit and Loss Report

2) Click on the amounts on the "Total Expenses" line item.

3) Click Group By at the top and click "Clear all"

4) Click Save As so it'll be a customized report.

5) Optional.  Click "Columns" if you want to hide,show, reorder columns.
