We run our handwritten checks through a payroll run normally to get all the information in QB.  This is not an option for The Dec 29 paychecks now that it is in January.

That's odd. It seems like you should be able to choose whatever date you have a payroll to enter, like when using QuickBooks Desktop.

Hi there, atpsdtr.

I'll provide insights on how paychecks dated in the past work in QuickBooks Payroll. This way, I'll ensure that you reach your goal smoothly.

Please know that you can create a paycheck with a past check date as long as it’s not a direct deposit. Also, if you haven't paid your taxes and submitted any forms. This could be the reason an option for the Dec 29 paychecks isn't on your end.

To fix the issue, I recommend canceling or deleting tax payments or form filing within QuickBooks. This is done so you can enter paychecks dated December 29th in your account. Please note that the ability to delete those transactions varies depending on your payroll subscription and situation. You can refer to this article to see the process: Cancel or delete payroll tax payments and forms.

If you no longer have the option to delete tax payments and forms, I recommend contacting our QuickBooks Online Payroll Team. They're the best support group for such inquiries as they can request account information. They can even help you delete the tax payments and forms, then enter paychecks dated 29th of Dec.

Here's how to reach them:

  1. Sign in to your QuickBooks Online company.
  2. Click Help (?).
  3. Choose Contact Us.
  4. Enter your concern about managing back-dated paycheck, then select Let's talk.
  5. Choose a way to connect with us.

In case you need payroll reports that allow you to view employee info, wages, taxes, and deductions in QBO, you can read this article: Run payroll reports.
