How do I handle products that we don't keep inventory? and yet we need to issue invoice

Here's my scenario... we sell many products that we don't keep inventory, the vendors will either drop ship to the customer or the customer pick up from the vendors.  When I create an invoice in QB, I'm force to select a product or add a new product.  This is all fine, but when I try go to the Products and Services screen or  run an inventory report, I got the wrong number of inventory.  We also have products that we do keep inventory.  The inventory dashboard/report will say something like 297 Out of Stock, but in reality we only have 20 Out of Stock (products that we do keep inventory)

I can definitely help you handle products that you don't keep inventory in QuickBooks Online, Paul. 

 

You can set up those items as non-inventory items. When you create an invoice for a product that you don't keep inventory for, select the non-inventory item from the product/service dropdown menu on the invoice. Here's how you can do it:

 

  1. Go to the Sales tab in QuickBooks Online and select Products and Services.
  2. Click the New button and choose Non-inventory from the dropdown menu.
  3. Fill in the details for the product, including name, description, sales price, and income account.
  4. Once you've entered all the necessary information, click Save and close.

By setting up these products as non-inventory items, QuickBooks Online won't track their quantities or affect your inventory reports. You can still issue invoices for these products without impacting your inventory counts.
