Question

How do I limit employees to only creating invoices and charging a credit card in Quickbooks?

I would like to let a couple of employees create invoices and then charge credit cards at the same time using QB online.  No other access.  We use QB for credit card processing.   I am not sure how to do this.  Thank you.

Hello there.

I'd be delighted to share details about managing user roles in QuickBooks Online (QBO).

I acknowledge how crucial it is for QuickBooks users to streamline invoice-related activities. Please know that the option to choose a specific role for creating invoices and then charging credit cards only is unavailable in QBO.

However, if you're utilizing the Simple Start, Essentials, or Plus version, you can set up the Standard user role for your employee, which gives different levels or restricts certain access rights, including viewing information beyond the customer side. If you have QBO Advanced, you have the ability to customize roles to meet your exact requirements. You can refer to this article: Add and manage custom roles in QuickBooks Online Advanced.

Feel free to read this reference for additional information about different roles and access permissions: User roles and access rights in QuickBooks Online.

Additionally, usage limits specify the maximum number of accounts or users allowed based on your subscription. These limits apply to billable users, chart of accounts, classes, locations, and tags. For more details, check out this website: Learn about usage limits in QuickBooks Online.
