Hello, @arkvalleyinfo.

Let me help share some insights about record-keeping in QuickBooks.

In QuickBooks Online, you can try attaching a PDF document of your bank statement so you can keep this record. For more details, please check out this article: Attachments in QuickBooks Online.

However, if you're referring to other ways of storing your bank statements, please let me know. I'm here to help further if you have additional questions.

Is there a different method in QBO to store the pdf bank statements in the banking section instead of using the vendor account?  Just curious.

Thank you for joining this thread, @DEE78023. It's my pleasure to help you store your bank statement in QuickBooks Online (QBO).

Yes, there's a way to attach your PDF bank statement in the Banking section. All you need to do is click the Add attachment when categorizing your downloaded transactions. Let me guide you on how to do it.

  1. At the left navigation panel, select Transactions.
  2. Click Bank Transactions.
  3. Select the transaction you want to put in the bank statement.
  4. Click Add Attachment.
  5. Select the file, then click Open.
  6. Click Add.

Please note that attaching documents is only possible for transactions that haven't been categorized yet.

Alternatively, you have the option to attach your bank statement to your reconciled bank transactions.

Here's how:

  1. Go to Transactions, then select Reconcile.
  2. Click History by account.
  3. Look for the statement.
  4. Select Attachments in the Statements column to open the statement.

Moreover, here's an article you can utilize to help reconcile your accounts so that the actual values spent match the amount shown leaving an account at the end of a fiscal period: Reconcile an account in QuickBooks Online.

On the other hand, you might want to scan these resources to resolve beginning balance issues when reconciling your account:
