Question

How do we send a purchase order to a vendor who has a hyphen in their email address? This used to work but recently the vendor is no longer receiving our PO emails.

We have an established vendor that uses hyphens in all employee email addresses. In the past they've been able to receive our PO emails without issue, but recently the emails have stopped going out and we suspect that the hyphen is the issue since it is still working fine for other vendors.

Let me guide you on sending a purchase order to your vendor who has a hyphen in their email address, Celeste.

To begin with, please know that sending a purchase order to your vendor with a hyphen in their email is still available in QuickBooks. You can follow the steps below to do this.

Create the Purchase Order:

  1. Log in to your QBO account.
  2. Click the +New icon (New) and select Purchase Order.
  3. From the Vendor dropdown, choose the vendor.

Enter Purchase Order Details:

  1. Vendor Details: Make sure the vendor’s contact information is accurate.
  2. Order Items: Specify the items you want to order, including item names, quantities, and variations.
  3. Delivery Date: If applicable, set the desired delivery date.
  4. Shipping Instructions: Include any specific shipping instructions or preferences.
  5. Attachments: Attach any relevant documents, such as product specifications or previous correspondence.

Send the Purchase Order:

  1. Review the purchase order details to ensure accuracy.
  2. Click the Save and Send button.
  3. Choose the email option and enter the vendor’s email address (including the hyphen).
  4. Ensure to enter your vendor's correct email address.
  5. Click Send to transmit the purchase order electronically.

If your vendor can't see your email, please ask them to check their spam folder. However, if the issue persists, I suggest performing browser troubleshooting.

Additionally, if you're using QuickBooks Plus or Advanced, you can check out this article to learn how to run PO reports: How to run purchase order reports.
