How do you edit the Ship Via and Tracking Number fields now that Quickbooks changed their invoices and removed those options?

Our invoices used the Ship Via and Tracking Number fields to enter custom information on our Invoices. Because Quickbooks removed those fields and we copy old invoices, I can no longer change/remove the data in those fields. 

There must be a way to edit them still since if you try to email an invoice to a customer, the Ship Via and Tracking info are the first things they would see. I don't know why they would list that information if you can't change it.

Trying to get help from Customer service has gotten me nowhere. Any help is appreciated!

Before anything else, have you switched from the old layout to the new invoice format? If so, please know that these Ship via and Tracking no. fields are unavailable in the latest experience. See this guide to learn more: See what’s new with estimates and invoices.

Also, you mentioned you copied your old invoices. Can you share how you did it?


Since you’re unable to change or remove the ship and tracking number details, consider switching back to the old layout if you have the option. Then, update the said information from there.


You can use a third-party app if you have multiple transactions to modify. QuickBooks Online offers several applications that help expedite processes. Just visit our Apps Center or your Apps menu within your company to find a tool that suits your needs.


Here’s how:

 

  1. From your left pane, select the Apps menu.
  2. Choose Find apps.
  3. Enter a keyword on the provided field and select an application.
  4. You can click the Overview, Pricing, and Reviews tab to learn more.
  5. Once decided, hit the Get app now button.

Yes, as mentioned in my original post since Quickbooks has updated to the new invoice style those fields are missing. The option to switch back in unavailable. Several phone calls with Customer Service at Quickbooks confirmed that you cannot change back to the old invoice style and that the change is permanent.

 

Regarding Copying invoices we use the built in function to Copy/Duplicate an existing invoice and modify minor information based on the current order(s).

Under "Your Company" - Accounts and Settings, go to Sales tab, then edit the Sales Form Content and make sure that Shipping is turned on. This "Adds shipping fields (date, tracking number, destination, subtotal) to sales forms".
