Question

How to change an expense from converted to non-converted to add to invoice. I removed an expense from an invoice to hold until next month. However, it shows as converted.

The expense is still associated with the correct client and project, but is no longer flagged as being billable. How do I change the status so that I can add it to an invoice?

Thank you and welcome here in our Community, @DGfire. I'll share information about billable expenses in your invoices in QuickBooks Online (QBO).

 

Please check the expense if the billable box is checked, if not, the expense will not be shown on the invoices. From there, you'll have the option to check the billable box and choose the specific customer. 

 

Here's how:

 

  1. Click + New and choose Expense.
  2. Select the Payee.
  3. From the Category column, select the expense account for the transaction.
  4. Enter the description and amount of the expense and select the Billable checkbox.
  5. In the Customer column, select the customer you want to bill for this expense.
  6. Fill in the necessary field. Then, hit Save and close.

Next, add the billable expense to the invoice. I've outlined the steps below:

 

  1. Click the + New.
  2. Select Invoice.
  3. In the Customer ▼ dropdown menu, select the customer you created a billable expense for. This opens the Add to Invoice window.
  4. Pick Add on the billable expense you want to charge to your customer.
  5. Once done, click Save and Close.
