How to change the Description on transactions in the Bank Transactions?

How to change the "Description" on transactions in the Bank Transactions view? When imported from my bank, the incorrect Description has been imported - and is visible on the "For review/Categorized/Excluded" tabs. That description is not visible when looking at the transaction in the register, but makes it terribly difficult to correctly categorize transactions. It would be great if there was a way to copy the memo field to the description field as a way to correct this. I believe this error (or issue, rather) has been going on for several years - see this post from 2019:  https://quickbooks.intuit.com/learn-support/en-us/reports-and-accounting/can-i-change-the-description-has-wrong-information-and-does-not/00/215549

*to note - the "description" that QB changes it to is NOT in my bank record - on a statement, their register, etc - so I believe it's something on QBs end

I appreciate your effort in looking for a related post, Moneybob.

QuickBooks Online (QBO) is dependent on what your bank shares with us. This means that QBO doesn't have direct control over what's imported and shown in your transactions' Description field.

But the good thing is that you have the option to change or update the imported data in the Memo section if you want to.

Here's how:

  1. In your left panel, click Transactions.
  2. Go to Bank Transactions.
  3. Choose the transactions you want to change.
  4. Select Memo, and then modify it.
  5. Click Confirm.

In QBO, in your step 5, you say "Click CONFIRM" but I only see a button to Save and Close.  And when I click SAVE AND CLOSE, the edit I just made in the Memo field does not change in the Description field.

Hello, @Sally2023.

I can see the importance of making the description reflected and making changes to it while using QuickBooks Online.

I acknowledge the correction that you shared, I'll also let my colleague make an update about the options provided. On the other hand, upon checking on our end the changes were shown once you clicked the Bank Register

Moreover, if you are already done clicking the Bank Register and the issue persists, I can share some troubleshooting steps that will help you.

First, let's try accessing your account through an incognito window to rule out the possibility of a webpage issue. You can refer to these shortcut keys to open an incognito window in all supported browsers:

  • Chrome: Ctrl Shift N
  • Firefox: Ctrl Shift + P
  • Safari: Command Shift N

Once done, pull up your invoices again. If it works, switch back to your regular browser. Then, clear its cache. This way, you can access QuickBooks with a clean slate. You can also use a different supported one.

I'll add this article that tackles managing bank transactions in QBO for further guidance: Categorize and match online bank transactions in QuickBooks Online

If you have further questions about editing your descriptions in QBO, you can comment below, and we'll respond to you as soon as possible.

Was this ever resolved?  I've been having the same issue for close to a year and it's getting worse and worse.  More and more transactions are coming in with the completely wrong info and there is no way to change the Description.  Adding a note in Memo does not solve the problem as suggested.  Quickbooks - can you please look into this on your end?  It's very hard to have correct bookkeeping and accounting when there are so many errors with the input data.  And the info being put into Quickbooks Description is NOT from the bank.  An example is we just had a security transition and QB put TMobile as the Description - which has nothing to do with the security company.  Please fix this issue as it's getting very difficult to deal.

I appreciate your feedback regarding changing the description of your bank transaction in QuickBooks Online (QBO). Let me provide the steps for sending feedback to our developers.

As of now, QBO doesn't allow users to directly edit the Description field of bank transactions imported from your bank feed. The description is typically pulled directly from your bank, which can sometimes lead to inaccuracies, as you've noted.

I recommend submitting a feature request through the QuickBooks support page. The more we hear from users like you, the more we can prioritize improvements in upcoming updates.

  1. Here's how you can send your suggestions:
  2. Sign in to your QBO account.
  3. Click the Gear icon at the top, then Feedback
  4. Enter your comments or product suggestions.
  5. Press Next

Also, you can visit our article for detailed steps in categorizing your bank transactions in QBO.

Additionally, discover the simple step-by-step process to reconcile an account in QBO by visiting our article.

I am also having this issue with many transactions and this information is n coming from the description field in the imported bank file.  Some of my direct deposit payrolls are coming through in QuickBooks as deposits and that is not reflected in the bank file import.
